Hopeistan means Land of Hope, the homeland for human potential.

We work with students, youth, families, schools, universities, workplaces, teachers, trainers, coaches, and communities to build hope skills, life skills, wellbeing, employability, enterprise readiness, and human capacity.

Because our work involves people, including children and young people, privacy, dignity, safety, and trust are central to everything we do.

This Privacy & Safeguarding Policy explains how Hopeistan collects and uses information, how we protect participants, and how we create safe environments for learning, growth, and development.

1. Who We Are

Hopeistan is a for-profit, mission-driven human development company, registered in the United States as an LLC and incorporated in Pakistan as a Pvt Ltd company.

Through Hope OS, we deliver practical, science-backed programs across schools, universities, workplaces, youth programs, communities, and enterprises.

Our mission is to train hope as a measurable human capability, building the mind, body, and impact skills people need to turn potential into progress.

2. Our Privacy Commitment

We respect the privacy of every participant, student, parent, teacher, trainer, partner, and visitor.

We collect only the information needed to deliver our programs, support participant progress, improve learning outcomes, communicate responsibly, and measure impact.

We do not sell personal data.

We do not publicly share individual participant results without appropriate permission.

We do not use student or youth data for harmful profiling, exploitation, or advertising.

We treat all personal information with care, responsibility, and respect.

3. Information We May Collect

Depending on the program, form, assessment, event, or partnership, Hopeistan may collect:

  • Age or age group

  • Gender, where relevant and voluntarily provided

  • School, university, organization, or workplace

  • Grade level, role, or program category

  • Email address and phone number

  • Parent, guardian, teacher, or institutional contact details where required

  • Attendance and participation records

  • Assessment responses

  • Hope Score, life skills, wellbeing, employability, or program progress data

  • Feedback, reflections, goals, and learning responses

  • Photos, videos, testimonials, or media consent where specifically approved

  • Website or form activity, such as basic analytics, cookies, or device and browser information

We aim to collect the minimum information needed for the purpose of the program.

4. How We Use Information

Hopeistan may use information to:

  • Deliver programs, workshops, assessments, coaching, and training

  • Personalize learning and development support

  • Track progress and participant growth

  • Create individual, group, school, or organizational reports

  • Improve our curriculum, tools, and program design

5. Student, Youth, and Child Data

Hopeistan takes extra care when working with children, students, and young people.

For participants under 18, we may work through schools, parents, guardians, community organizations, or authorized institutional partners.

Where required, we seek appropriate consent before collecting personal information, assessment responses, photos, videos, testimonials, or sensitive program data.

We do not knowingly collect personal information from children in ways that are inappropriate, unnecessary, or outside the purpose of the program.

For younger participants, we aim to keep forms, assessments, and activities age-appropriate, simple, respectful, and safe.

6. Sensitive Information

Some Hopeistan programs may include reflection questions related to wellbeing, confidence, stress, goals, habits, health behaviors, or life challenges.

We use this information only to support learning, development, coaching, program improvement, and responsible safeguarding.

Hopeistan programs are not a substitute for medical care, therapy, emergency support, or professional mental health treatment.

If a participant appears to need urgent or specialized support, we may refer the matter to a parent, guardian, school representative, workplace contact, qualified professional, or appropriate authority, depending on the situation.

7. Data Sharing

Hopeistan may share relevant information with:

  • Schools, universities, workplaces, or organizations sponsoring the program

  • Teachers, trainers, coaches, facilitators, or program staff involved in delivery

  • Parents or guardians where appropriate

  • Service providers who help us operate our website, forms, assessments, communications, reports, or learning systems

  • Legal, regulatory, safeguarding, or emergency authorities where required

We share only what is necessary and expect partners and service providers to handle information responsibly.

We do not sell personal data.

We use reasonable safeguards to protect personal information from unauthorized access, misuse, loss, or disclosure.

Depending on location, age, consent status, and applicable law, participants, parents, guardians, or institutional partners may request to:

Participants, parents, guardians, schools, or organizations may request that identifiable media not be used publicly.

12. Our Safeguarding Commitment

Hopeistan is committed to creating safe, respectful, inclusive, and supportive environments for all participants, especially children, young people, and vulnerable individuals.

Safeguarding means protecting people from harm, abuse, neglect, exploitation, harassment, discrimination, unsafe conduct, or inappropriate behavior connected to our programs, people, platforms, or partnerships.

Our goal is simple:

Every participant should feel respected, safe, heard, and supported.

Dignity
Every person deserves to be treated with respect.

Learning and growth should happen in safe environments.

Participants should understand what they are taking part in, and appropriate consent should be obtained where required.

Teachers, trainers, coaches, mentors, staff, and volunteers must maintain professional boundaries.

Inclusion
No participant should be excluded, humiliated, or discriminated against because of background, gender, ability, religion, nationality, ethnicity, income level, academic performance, health, or personal circumstances.

Confidentiality with responsibility
We respect privacy, but if there is a serious safety concern, we may need to involve appropriate people or authorities.

Accountability
Safeguarding concerns should be taken seriously, handled responsibly, and acted on with care.

14. Expected Conduct

All Hopeistan staff, trainers, coaches, volunteers, partners, and facilitators are expected to:

  • Treat participants with dignity and respect

  • Use positive, appropriate, and age-sensitive language

  • Create emotionally and physically safe learning environments

  • Maintain professional boundaries

  • Avoid favoritism, humiliation, intimidation, bullying, or inappropriate behavior

  • Avoid private, unsupervised, or unnecessary one-on-one contact with minors unless approved by the relevant institution, parent, or guardian

  • Use official communication channels where possible

  • Protect participant information

  • Report safeguarding concerns promptly

  • Follow the rules and safeguarding expectations of partner schools, universities, workplaces, and organizations

15. Prohibited Conduct

Hopeistan does not allow:

  • Physical, emotional, verbal, or online abuse

  • Bullying, harassment, discrimination, or intimidation

  • Exploitation of participants

  • Inappropriate physical contact

  • Inappropriate private communication with minors

  • Sharing participant information without permission or legitimate reason

  • Publicly shaming, mocking, or humiliating participants

  • Using photos, videos, or testimonials without appropriate consent

  • Any behavior that puts a participant’s safety, dignity, or wellbeing at risk

Any breach may lead to removal from Hopeistan programs, reporting to partner institutions, or further action where required.

16. Working With Schools, Universities, and Partners

Hopeistan often works inside existing institutions.

When working with a school, university, workplace, community organization, or partner, we aim to align with that institution’s safeguarding, privacy, child protection, and conduct policies.

We encourage partners to identify a safeguarding contact person before program delivery begins.

For school and youth programs, Hopeistan may require:

  • Participant lists or registration data

  • Parent or guardian consent where needed

  • Media consent where photos or videos are involved

  • Clear supervision arrangements

  • Reporting channels for concerns

  • Teacher, trainer, or staff coordination

  • Safe spaces for workshops and activities

17. Reporting a Concern

Anyone can report a safeguarding or privacy concern, including:

  • Students

  • Parents or guardians

  • Teachers

  • Trainers

  • Participants

  • Staff

  • Volunteers

  • Partner organizations

  • Community members

Concerns may include unsafe conduct, inappropriate behavior, privacy misuse, harassment, bullying, discrimination, boundary violations, or any situation where a participant may be at risk.

18. How We Respond to Concerns

When Hopeistan receives a safeguarding or privacy concern, we aim to:

  • Involve parents, guardians, institutions, or authorities where appropriate

  • Keep records where necessary

19. Online Programs and Digital Safety

For online sessions, assessments, communities, forms, or coaching, Hopeistan aims to:

  • Use appropriate digital platforms

  • Avoid unnecessary private communication with minors

  • Encourage participation through official or approved channels

  • Protect meeting links and participant data

  • Avoid recording sessions without permission

  • Use respectful online conduct

  • Remove participants or users who behave in unsafe or inappropriate ways

Participants should not share private personal details in group sessions unless clearly relevant and safe to do so.

20. Assessments and Progress Tracking

Hopeistan may use assessments such as Hope Score, life skills reflections, wellbeing check-ins, work readiness tools, goal-setting exercises, or progress dashboards.

These tools are designed for learning and development, not labeling or limiting people.

Assessment results should be used to support growth, not to shame, punish, exclude, or permanently categorize participants.

Hopeistan is built on the belief that human potential exists everywhere.

We aim to make our programs inclusive, respectful, and accessible across different backgrounds, abilities, cultures, income levels, and life circumstances.
